Import Contacts from Excel

This guide provides a detailed walkthrough of importing contacts from a CSV or Excel file into HARi CRM, including preparation tips and troubleshooting.

Before importing, organize your spreadsheet for a clean import:

  1. One contact per row — Each row should represent a single person
  2. Headers in the first row — Column headers help HARi auto-map fields (e.g. “First Name”, “Email”, “Phone”)
  3. Consistent formatting — Use the same date format throughout (YYYY-MM-DD recommended)
  4. No merged cells — Unmerge any merged cells before exporting
  5. Save as CSV — If your file is in .xlsx format, HARi accepts both, but CSV is most reliable
  1. Navigate to Contacts in the sidebar
  2. Click the Import button in the toolbar
  3. Click Choose File and select your CSV or Excel file
  4. HARi uploads the file and shows a preview of the first 10 rows

The mapping screen shows each column from your file with a dropdown to select the corresponding HARi field.

  1. HARi auto-suggests mappings based on header names. Review each mapping.
  2. Correct any mismatches by selecting the right field from the dropdown
  3. Leave columns unmapped if they contain data you do not need
  4. If your file has a “Company” column with company names (not IDs), HARi’s smart lookup resolver will match them to existing company records automatically
  5. Click Next

HARi scans for potential duplicates based on email address.

  1. Review the list of flagged duplicates
  2. For each duplicate, choose: Skip (do not import), Merge (update existing record with new data), or Create New (import as a separate record)
  3. Click Next
  1. Review the import summary: total rows, mapped fields, duplicates handled
  2. Click Import to begin
  3. HARi processes the file and shows a progress bar
  4. When complete, you see a summary: records created, records skipped, errors

If some rows fail to import:

  1. Click Download Error Report to get a CSV of failed rows with error descriptions
  2. Common errors include: missing required fields, invalid email format, unrecognized lookup values
  3. Fix the errors in the CSV and re-import only the corrected rows
