Segment Contacts

Segmentation lets you divide your contacts into meaningful groups — by industry, location, deal status, or any criteria you choose. In HARi CRM, segments are created using filters and saved as reusable views.

  1. Navigate to Contacts in the sidebar
  2. Click the Filter button in the toolbar
  3. Add filter conditions:
    • Select a field (e.g. “City”, “Industry”, “Source”)
    • Choose an operator (equals, contains, is not empty, etc.)
    • Enter the value
  4. Add multiple conditions to narrow your segment further
  5. The contact list updates in real time as you add filters

Here are practical segments you might create:

  • By Location: City equals “Hong Kong” — all contacts in a specific city
  • By Source: Source equals “Website” — contacts who came through your website
  • By Activity: Last Activity Date is within 30 days — recently active contacts
  • By Company Size: Employee Count is greater than 50 — mid-market and enterprise contacts
  • By Status: State equals Active — exclude archived or inactive contacts
  • VIP Contacts: Tag contains “VIP” or Deal Value is greater than 100,000

Once you have your filters set:

  1. Click Save View
  2. Give it a descriptive name (e.g. “Hong Kong Enterprise Contacts”)
  3. Choose whether it is a personal view (only you see it) or system view (visible to the team)
  4. Click Save

The saved view appears as a tab above the contact list. Click any saved view to instantly apply its filters.

You can combine multiple filter conditions with AND logic. For example:

  • City equals “Hong Kong” AND Industry equals “Technology” AND Source equals “Referral”

This gives you a highly targeted segment of tech contacts in Hong Kong who were referred to you.

Segments become powerful when combined with other HARi features:

  • Bulk email — Select all contacts in a segment and send a templated email
  • Workflow triggers — Create a workflow that acts on contacts matching segment criteria
  • Dashboard widgets — Add a counter showing how many contacts are in each segment
